You put so much heart and soul into what you do for your clients. Maybe you’re a side hustler or full time in this dream. Either way, we are all juggling a lot of schedules, details and logistics while going to meetings and keeping things moving. Maybe you feel like you are never as organized as you would like to be or that you don’t have an efficient mobile office option. Friend, I feel you, which is why I am sharing a few tips for how I stay organized on the go!

I am not the end all, be all resource on this topic, but over the past three and a half years, I have had to figure out how to keep myself and my clients organized amidst all of the roles I have in life. I will always be a huge advocate of systems and working smarter, not harder. I am constantly looking for new ways to simplify my life and my clients’.

For the past two years, I have had a binder that is my home base command station. While I do keep things digital as well, I will always be somewhat analog. Writing things on paper helps me remember them and I just plain enjoy it. Having a day job also presents challenges where I can’t access my business email or files on my work laptop. So, I had to get creative in order to keep all of the necessary information I need accessible. Enter my binder.

There are tabs for every area of life in this thing, y’all! There are six sections that I have honed in on: Home, Blog, Clients, Workflow, Brainstorm and miscellaneous. At any time, I have the binder in my bag and can look up the status of a wedding, a contract or even brainstorm and plan blog posts.

These sections are high level for the most part, since I started using Trello, but I still keep contracts, my master workflow so I can see a status, design boards, sketches and other brainstorm pages printed. Having everything in one place like this is so helpful for me.

However, I know that many of you prefer to use your phone as your command station, right? Enter Trello!! I have been using it for just over a year now and it is fantastic! I will post more about the way I organize my system in another post. The main things you need to know are that I keep ALL of my tasks there.

If I think of something I need to do while I’m out and about or traveling, I simply add it to the list on my app. It is all real time, so when I get to my laptop, it’s waiting for me. Same thing if I think of something as I’m laying in bed at night, which happens a lot.

I have templates for all of my collections to be sure contracts are being fully fulfilled, my blog calendar, checklists for editorials and so much more. It has saved me so much time and we even use it with clients!

Between Trello and my binder, I always have what I need on hand. Phone calls can still be made, progress made and ideas recorded. I never skip a beat and don’t have to move things around to multiple places, duplicating efforts.
